Role Overview

We are seeking an experienced ClickUp Expert (ClickUp Consultant) to design, implement, and continuously improve our project management infrastructure. This role will be responsible for building scalable workspaces, task hierarchies, automations, dashboards, and documentation in ClickUp for various departments including operations, marketing, HR, and logistics.
As our internal ClickUp Consultant, you will also attend key meetings to document action items in real-time and translate them into organized ClickUp tasks, assignees, deadlines, and workflows—ensuring nothing falls through the cracks and every initiative is captured for follow-up.
The ideal candidate is a systems thinker with deep knowledge of ClickUp features, automation capabilities, and team adoption strategies. They must be comfortable collaborating across departments, translating business needs into streamlined workflows, and leading company-wide implementation and training.
This is a full-time and remote position offering direct impact on operational efficiency, team productivity, and company-wide alignment.

Key Responsibilities
  • Design and Build Scalable ClickUp Workspaces – Set up ClickUp architecture including folders, spaces, lists, and views tailored to each team’s needs.
  • Live Meeting Support – Attend meetings with stakeholders, capture action items, assign owners and deadlines, and immediately input them into ClickUp with proper structure.
  • Develop Custom Dashboards & Reporting – Create real-time dashboards to track KPIs, workload, and project timelines across teams.
  • Implement Advanced Automations – Leverage ClickUp automation features and integrations to eliminate repetitive tasks and reduce manual work.
  • Onboard & Train Teams – Conduct onboarding sessions, create SOPs, and provide ongoing training to ensure adoption and consistent usage.
  • Audit & Optimize Current Workflows – Identify bottlenecks, redundant steps, and inefficiencies in existing processes, then implement improvements.
  • Integrate ClickUp with Other Tools – Set up integrations with Slack, Google Workspace, Drive, Notion, and other internal systems.
  • Maintain Documentation & SOPs – Ensure all ClickUp workflows, roles, and permissions are clearly documented and updated regularly.
  • Act as Internal Consultant – Serve as the go-to expert for all things ClickUp, advising departments on how to leverage it to its fullest.

Key Performance Indicators (KPIs)
  • Workspace Completion – Complete full ClickUp buildout for each department within 60 days.
  • Automation Impact – Reduce manual task creation or follow-ups by 40% through automation.
  • Team Adoption – Achieve 90% active weekly ClickUp users across departments within 90 days.
  • Dashboard Accuracy – Ensure 100% real-time data reporting on all leadership dashboards.
  • SOP Coverage – Deliver complete, department-specific ClickUp SOPs for all active workflows.

Success Benchmarks (30-60-90 Days)
First 30 Days
Conduct team interviews to map out existing workflows and requirements
Audit current ClickUp use and recommend architectural changes
Complete initial workspace setup for one department

First 60 Days
Implement key automations and dashboards for operations and marketing
Launch internal SOPs and run first round of team training sessions
Achieve 75% tool adoption among core users

First 90 Days
Complete company-wide rollout of ClickUp systems
Deliver training documentation and recorded walk-throughs for all teams
Integrate ClickUp with external tools and ensure system stability

Required Skills & Qualifications
Must-Have Skills:
  • Proven experience as a ClickUp administrator or consultant (portfolio or case studies required)
  • Deep knowledge of ClickUp's advanced features: custom fields, dependencies, automations, dashboards, and integrations
  • Experience designing scalable project management systems from scratch
  • Strong communication skills for onboarding, training, and cross-functional collaboration
  • Ability to document and simplify complex workflows into SOPs
  • Proficiency with workflow mapping tools (e.g., Whimsical, Lucidchart)
Nice-to-Have Skills:
  • Familiarity with eCommerce or DTC operations
  • Experience integrating ClickUp with Slack, Google Workspace, Zapier, or similar tools
  • Understanding of agile or sprint-based project management
  • Background in process improvement, business operations, or project management consulting
